Terms and Conditions

ACCOMMODATION:

• 50% Deposit required to secure booking, accommodation to be paid in full upon arrival. An approved credit account is needed prior to credit facilities being made available. Credit card details /swipe are required prior to occupation, or cash in front, if credit facilities are still not cleared.

• Company name, occupants name, contact details, invoice details and addresses are needed on booking confirmation.


Where rooms are booked for single occupancy, dual occupancy is not permitted unless the appropriate upgrade is registered and paid for.

• Guest’s property, etc., is the sole responsibility of the guest, unless placed in the hotel safe and the appropriate fee paid. Guests vehicles and their vehicle contents are left on the hotel site at the vehicle owner’s sole responsibility.

• Please note, that as the host, you are responsible for the conduct of your party. Anti-social behaviour will not be tolerated.

• Any damage to the hotel property by yourself or your guests, will be charged for in full, for the cost of any cleaning/repair, along with any lost revenue of rooms awaiting attention. This will be the liability of the organisation/person booking the room, who will be responsible for collecting payment, if necessary from their other guests.

 

CANCELLATION  POLICY: 

 

A 50% booking fee is required for all accommodation bookings.

This is a non-refundable booking fee. In the event of a cancellation

less than seven days prior to the booking date, the hotel reserves

the right to claim an additional 25%.

 



Conference Facilities:

A deposit is required on booking.

An approved credit account is needed prior to credit facilities being made available. Credit card details / swipe are required prior to the conference/meeting, or cash in front, if credit facilities are still not cleared.

Company name, Presenters name, delegate numbers, contact details, invoice details and addresses are needed on booking confirmation. Please advise us a minimum of 72 hrs previous of any special dietary requirements or we will not be able to supply such requirements.

Guest’s property, etc., is the sole responsibility of the guest, unless placed in the hotel safe and the appropriate fee paid. Guest’s vehicles and their vehicle contents are left on the hotel site at the vehicle owner’s sole responsibility.

Please note, that as the host, you are responsible for the conduct and standard of dress of your party. Anti-social behaviour will not be tolerated.

Any damage to the hotel property by yourself or your guests, will be charged for in full, for the cost of any cleaning/repair, along with any lost revenue of rooms awaiting attention. This will be the liability of the organisation/person booking the event, who will be responsible for collecting payment, if necessary from their other guests / delegates.


CANCELLATION POLICY:


  Deposits are non-refundable.

A 50% booking fee is required for all conference bookings.

In the event of a cancellation  less than 28 days prior to the

booking date, the hotel reserves  the right to claim an additional 25%.


Failure to meet these deadlines will result in your liability to 75% of the booked value.     


Function Facilities:

A deposit is required on booking with balance paid fourteen days prior to function. Ask for separate details.

An approved credit account is needed prior to credit facilities being made available. Credit card details / swipe are required prior to the event, or cash in front, if credit facilities are still not cleared.

Company / Organisation name, Organiser’s names, contact details, invoice details and addresses are needed on booking confirmation.

Menus, numbers, details to be supplied on approved booking form within seven days of confirmation. Please advise us a minimum of 72 hrs in advance of any special dietary requirements or we will not be able to supply such requirements.

GUARANTEED minimum number to be confirmed at the latest 28 clear working days prior to arrival. These numbers then automatically become the minimum chargeable or 90% of the original number given, whichever is the larger. This figure may be increased prior to arrival by up to 10% on giving five working days notice and in any event, every endeavour will be made to meet the precise requirements under all circumstances.

If there is anything you are dissatisfied with relating to service or products, please inform the staff immediately so that it can be rectified or replaced whilst you are here. Members of staff are unable to authorise credit or till refunds.

CANCELLATION POLICY:


·                      Deposits and prepayments are non-refundable.


·                      If cancellation is less than one Month for Sunday to Thursdays bookings or Two Months for Fridays or Saturdays bookings, Fifty percent (50%) of the booked value becomes payable.
   


Wedding Facilities

Confirmation and Deposit:

An initial deposit of £ 5 per person (based on expected numbers) is required to confirm your booking, along with a letter of confirmation with the wedding date, approximate numbers and times. LABURNUM HOUSE LODGE HOTEL then confirms acknowledgement.
 Contract to be signed by person/persons with financial responsibility for wedding along with the Bride & Groom, who will all be jointly liable for the payment/s. Contract to be returned with the deposit.

 Name, Clients names, contact details, invoice details, function details, numbers and addresses are needed on booking  confirmation. Please advise us a minimum of 72hrs in advance for any special dietary requirements or we will not be able to supply such requirements.

Pre-Payment:
A further payment of 50% of estimated total will be required at least 28 days before the wedding.

Settlement of Account:
Payment of the final bill to be made the weekend prior to the wedding, unless arrangements have been made with the Management.

Numbers:
Final charges will be based on numbers given 3 days before the function.

 General:

This will be a liability of the persons signing the wedding contract, who will be responsible for collecting payment, if necessary from their guests.

• 
 PLEASE NOTE - Children must sit with and be supervised by their Parents. It is not conducive to safety to sit children together, unsupervised, for meals. Sharp cutlery and hot foods can be dangerous with unsupervised children.


CANCELLATION  POLICY:


 According to wedding contract:


•  NO charge, other than lost deposit and appropriate pre-payment, will be levied for bookings made if they are cancelled not less than 6 months before the commencement date. Where both daytime and evening have been booked, cancellation of one session shall be deemed as cancellation of both sessions. Deposit, pre-payment and minimum numbers conditions apply.

•  FOR cancellations made between 3-6 months before the commencement date of the booking, 30% will be charged of the estimated total in respect of room hire and pre-booked food and beverage charges and 45% for cancellations between 1-3 months, and 60% for cancellations made less than one month before the date of the booking.


Terms of Trade


• ALL unapproved / uncleared credit accounts are payable in cash prior to the supply date, according to the appropriate terms.

• ALL approved credit accounts are payable within 30 days of the invoice date. If there is anything you are dissatisfied with relating to service or products, please inform the staff immediately at the time, so that it can be rectified or replaced whilst you are here. The staff are unable to authorise credits or till refunds.

• ALL accounts on which a query is not raised within 7 days of presentation shall be deemed to have been approved as presented.

• Laburnum House reserves the right to charge interest at the rate of 10% above the Bank Of England Base Rate, calculated for every day or part thereof, that the account remains unpaid in part or in full, calculated from the 30th day from the date of the invoice until payment in full is received. ALL accounts not in dispute to be settled on this basis.

• Laburnum House shall always endeavour to re-let any cancelled services or facilities and if successful, wholly or in part, the    cancellation charges may be correspondingly reduced.

• Laburnum House reserves the right to charge a deposit of up to 50% of the estimated final account in order to confirm the booking     and should this payment not be forth coming then the booking may not be honoured.

Booking only secured by the payment of a deposit and by confirmation letter from the hotel.

• Deposits, part or full payments are non refundable in the event of cancellations of any booking, other than those stated in writing in the Hotel Terms & Conditions relating to that specific event.
